HostsLink Property Management Terms

These Property Management Terms (“Property Management Terms”) apply when the Property Management features provided through HostsLink are used.

They supplement the HostsLink Terms & Conditions, Privacy Policy, Payments & Escrow Policy, and any applicable Service Provider Terms.

By creating or using a Property Management Workspace, appointing a Property Manager, accepting an appointment as a Property Manager, or carrying out services through Property Management, you agree to these Property Management Terms where they apply to you.

If there is any conflict between these Property Management Terms and the general HostsLink Terms & Conditions in relation specifically to Property Management, these Property Management Terms will apply to the extent of that conflict.

1.About HostsLink Property Management

HostsLink Property Management provides a digital workspace through which Property Owners can organise and coordinate the ongoing care of a property.

Property Management may be used for properties including, but not limited to:

  • Airbnb and holiday lets
  • Holiday homes
  • Rental properties
  • Second homes
  • Properties whose owners are temporarily away
  • Properties requiring recurring or ongoing care

Property Owners can choose to: Manage the property themselves, using the Property Management Workspace to organise services and Service Providers; or Appoint an eligible Property Manager to coordinate agreed aspects of the property on their behalf. A Property Owner is not required to appoint a Property Manager in order to use Property Management.

2.HostsLink's Role

HostsLink provides the technology that allows Property Owners, Property Managers and Service Providers to connect, communicate, arrange services, manage jobs, record activity and process payments.

Unless expressly stated otherwise, HostsLink does not itself provide the property management, cleaning, maintenance or other property services arranged through the platform.

Property Managers and Service Providers operate independently and are responsible for the services they agree to provide.

HostsLink is not the employer, employee, agent, landlord, tenant or business partner of a Property Owner, Property Manager or Service Provider solely because they use the platform.

3.Self-Managed Properties

A Property Owner may choose to manage their property themselves.

When self-managing, the Property Owner can use the Property Management Workspace to organise the property’s ongoing care, create eligible one-time or recurring jobs, arrange services and appoint Service Providers.

The Property Owner remains responsible for decisions made regarding their property and for ensuring that information, instructions and access details they provide are accurate and appropriate.

A self-managed Property Management Workspace will not be presented as an available Property Management opportunity for Service Providers to apply to manage.

If the Property Owner later chooses to appoint a Property Manager, the relevant Property Management opportunity may become available to eligible Service Providers in accordance with the functionality provided by HostsLink.

4.Appointing a Property Manager

A Property Owner may choose to appoint an eligible Service Provider as their Property Manager.

The Property Owner is responsible for deciding whether a particular Property Manager is suitable for their property and requirements.

Before appointing a Property Manager, Property Owners should review the information available through the Property Manager’s HostsLink profile and discuss any relevant requirements through the platform.

Once an appointment is accepted, the Property Manager may carry out the Property Management activities permitted through the Property Management Workspace and authorised by the Property Owner.

The Property Owner remains the ultimate decision-maker for their property.

5.Property Manager Eligibility

Only Service Providers who meet HostsLink’s current Property Management eligibility requirements may act as appointed Property Managers.

Requirements may include:

  • Maintaining an eligible Premium subscription
  • Completing required identity verification
  • Accepting these Property Management Terms and/or any applicable Property Management Agreement
  • Complying with HostsLink’s Service Provider Terms and platform policies
  • Maintaining any legally required licences, registrations, permissions or insurance relevant to services they personally provide

HostsLink may change eligibility requirements where reasonably necessary to protect users, comply with legal requirements or operate the platform. If a Property Manager no longer meets applicable eligibility requirements, their ability to accept new Property Management appointments or continue using certain Property Management functionality may be restricted.

6.Property Manager Responsibilities

An appointed Property Manager must:

  • Act within the permissions and authority provided by the Property Owner
  • Use reasonable care when coordinating the property’s ongoing requirements
  • Provide accurate information to the Property Owner
  • Use HostsLink’s Property Management Workspace for relevant activity where required
  • Keep the Property Owner appropriately informed
  • Follow agreed property instructions and access requirements
  • Comply with applicable HostsLink policies
  • Avoid representing themselves as an employee or representative of HostsLink
  • Not exceed spending limits or other restrictions imposed through the platform

Property Managers must not use their access to a property for any purpose unrelated to authorised Property Management activity.

7.Jobs Created by a Property Manager

Where permitted, an appointed Property Manager may create one-time or recurring jobs relating to the managed property.

These jobs may be made available to suitable Service Providers through HostsLink.

Jobs created from within a Property Management Workspace must remain associated with that property and its Property Management Workspace.

Creating a job from within an existing Property Management Workspace must not create a separate or duplicate managed property.

A Property Manager must provide accurate information when creating a job and must remain within the authority granted by the Property Owner.

8.Property Manager Completing Services Personally

Where permitted by HostsLink and authorised by the Property Owner, an appointed Property Manager may offer to complete certain services themselves.

A Property Manager must not use their position to bypass Property Owner approval requirements.

Where the Property Manager proposes to personally undertake paid work for the managed property, the Property Owner must be given the appropriate opportunity to review and approve the work and associated price before payment is authorised.

A Property Manager must not approve their own paid work on behalf of the Property Owner where Property Owner approval is required.

Any work personally completed by a Property Manager remains subject to applicable HostsLink service, proof, payment and platform fee requirements.

9.Other Service Providers

Property Managers may coordinate other Service Providers through HostsLink where authorised.

Service Providers carrying out individual jobs remain responsible for the quality, legality and proper completion of the services they accept.

Appointment of a Property Manager does not make that Property Manager the employer of other Service Providers unless a separate legal relationship has independently been created outside the HostsLink platform.

Property Managers should use HostsLink’s available communication, job and proof systems when coordinating work through the platform.

10.Property Owner Control

Property Owners remain in control of their property. Depending on the functionality and permissions available through HostsLink, Property Owners may be able to:

  • Review activity relating to their property
  • Review jobs created for the property
  • View before and after photographs
  • Review completion information
  • Monitor payments relating to the property
  • Access the property’s activity history
  • Control or restrict certain actions available to an appointed Property Manager
  • Change the way their property is managed

A Property Manager must respect all restrictions and permissions applied by the Property Owner.

11.Property Access and Security

Property Owners are responsible for deciding what property access information is provided through HostsLink.

Access information may include instructions relating to keys, key safes, smart locks, entry procedures, alarm systems or other authorised access methods.

Property Managers and Service Providers must:

  • Use access information only for authorised work
  • Keep access information confidential
  • Not disclose access information to unauthorised persons
  • Take reasonable steps to protect the security of the property
  • Stop using access information when they no longer have a legitimate reason to access the property

Misuse of property access information may result in account restrictions, suspension or removal from HostsLink and may also have legal consequences.

12.Photos, Proof and Property Records

HostsLink may allow photographs, completion proof, check-in information, reports, messages and other records relating to a property to be stored within the Property Management Workspace.

Users must only upload content they are entitled to upload.

Users should take reasonable care not to unnecessarily capture private or sensitive information when uploading photographs or other proof.

Property records may be retained in accordance with HostsLink’s Privacy Policy, legal obligations and applicable data-retention practices.

13.Payments

Payments for services arranged through Property Management are processed using the payment systems supported by HostsLink.

Property Owners remain responsible for payments they authorise or are required to make for accepted services.

Where an appointed Property Manager creates or coordinates work, this does not automatically give that Property Manager unrestricted authority over the Property Owner’s payment method or funds.

Payment authorisation and release will follow the payment, escrow, approval and cancellation rules applicable to the relevant transaction.

14.HostsLink Platform Fee

HostsLink may charge its applicable platform fee on payments processed through the platform.

The applicable fee will be shown or communicated through HostsLink in accordance with the platform’s current pricing and payment terms.

Property Management does not remove or bypass applicable HostsLink platform fees.

Users must not deliberately move work or payments off-platform in order to avoid fees properly payable to HostsLink where prohibited by the HostsLink Terms & Conditions.

15.Cancellations and Changes

Property Owners may change how their property is managed, including ending an appointed Property Manager relationship, subject to any active jobs, payments, disputes or other obligations.

Property Managers may also end their Property Management appointment subject to applicable platform requirements.

Ending a Property Management appointment does not automatically cancel:

  • Active jobs
  • Completed work awaiting approval or payment
  • Outstanding payments
  • Existing disputes or Resolution processes
  • Other obligations already created before the appointment ended

Where necessary, HostsLink may restrict certain actions until outstanding matters have been resolved.

16.Disputes and Resolution

Property Owners, Property Managers and Service Providers should first attempt to resolve ordinary service issues using the communication and Resolution features provided through HostsLink where applicable.

HostsLink may review relevant platform records when assisting with a dispute, including messages, job information, photographs, proof of work, check-in information and payment records.

HostsLink may take reasonable action under its Terms & Conditions where there is suspected misuse of the platform, fraud, serious misconduct or a breach of these Property Management Terms.

17.Emergencies

HostsLink Property Management is not an emergency response service.

Property Managers and Service Providers must not present HostsLink as providing emergency police, fire, medical, security or other emergency services.

Where there is an immediate risk to a person or property, users should contact the appropriate emergency or professional service.

18.Insurance

Property Owners, Property Managers and Service Providers are responsible for ensuring they hold any insurance reasonably appropriate or legally required for their own circumstances and activities.

Any insurance held by HostsLink Ltd does not automatically insure individual Property Owners, Property Managers, Service Providers, properties or jobs unless expressly stated otherwise in writing.

Users should not assume that use of the HostsLink platform replaces appropriate property, business, public liability, professional or other insurance.

19.Legal and Regulatory Responsibilities

Property Owners remain responsible for legal obligations relating to their property.

Property Managers and Service Providers remain responsible for complying with laws, regulations, licensing requirements and professional obligations applicable to the services they provide.

Using HostsLink does not transfer these legal responsibilities to HostsLink Ltd.

20.Suspension or Removal

HostsLink may restrict, suspend or remove access to Property Management functionality where reasonably necessary, including where:

  • These Property Management Terms are breached
  • A user no longer meets eligibility requirements
  • There is suspected fraud or misuse
  • Property access or safety is put at risk
  • Required payments remain unresolved
  • Platform policies are repeatedly breached
  • HostsLink is required to do so by law

Any action taken will be subject to the applicable HostsLink Terms & Conditions and legal requirements.

21.Changes to Property Management

HostsLink may update, improve, replace or discontinue elements of Property Management as the platform develops.

Where changes materially affect users’ rights or obligations, HostsLink will provide appropriate notice where required.

The latest version of these Property Management Terms will be made available through the HostsLink website and/or platform.

22.Relationship With Other HostsLink Terms

These Property Management Terms should be read alongside:

  • HostsLink Terms & Conditions
  • HostsLink Privacy Policy
  • HostsLink Payments & Escrow Policy
  • HostsLink Service Provider Terms, where applicable
  • HostsLink Cookie Policy and Preferences, where applicable

Accepting these Property Management Terms does not replace any other HostsLink terms that apply to your account or activity.
